AI agents for businesses: we build it for you, no subscription

Artificial intelligence can do a lot more than answer questions in a chat.

We can integrate AI into your business processes to look up information, automate tasks, assist employees, process documents or interact with your applications and databases.

We build custom AI solutions, adapted to your business and to the way you already work.

And you don't need to become a customer of another platform for every single thing you want to do.

Approach

AI applied to your business, not AI for the sake of it

Artificial intelligence makes sense when it solves a specific problem.

Maybe your team wastes time searching for information in internal documentation. Maybe you receive hundreds of emails that someone has to review and sort. Maybe you have a huge database, but querying it requires knowing your software inside out.

In these cases, AI can become just another tool for the job.

We analyse what you need and build the solution that fits best: from a simple automation to an AI agent connected to your systems.

It's not about putting AI into everything. It's about using it where it really adds value.

Possibilities

What can we do with AI?

There isn't a single way to apply artificial intelligence to a business. Depending on the problem, we can combine AI models, automations, databases, APIs and the tools you already use.

AI agents

An AI agent can receive a request, look up information, make decisions within defined limits and carry out actions using other tools.

For example:

«Find customer X's pending orders, check whether we have stock for the products and prepare a reply for the sales rep.»

The agent could query your database, access your ERP through an API, check stock and prepare the reply.

AI stops being just a chatbot and becomes part of a process.

RAG: AI that looks up your business's information

AI models have general knowledge, but that doesn't mean they know your business's specific documentation.

With RAG (Retrieval-Augmented Generation) we can make the AI search your own content first before generating a reply.

We can work with:

  • Manuals and technical documentation.
  • Product catalogues.
  • Price lists.
  • Internal procedures.
  • Frequently asked questions.
  • Sales documentation.
  • Knowledge bases.
  • Project documentation.

For example, an employee could ask:

«What terms do we have for this type of customer?»

And the system would search the relevant information in the documentation provided before answering.

The advantage is that the AI can work with your own, up-to-date information without needing to train a model from scratch.

Chatbots and smart assistants

We can also build AI assistants for customers or for internal use.

But they don't have to be limited to answering questions.

An assistant can:

  • Answer questions about products or services.
  • Look up documentation.
  • Collect information from a customer.
  • Check availability.
  • Look up orders.
  • Create requests.
  • Connect with other applications.
  • Hand off a conversation to a person when needed.

The difference lies in what happens behind the chat.

Integrations

AI connected to your applications

This is where a custom-built solution can make the difference.

AI can connect to the systems your business already uses through APIs, databases or specific integrations.

There's no need to replace your current tools. We can build on top of them and add a new layer of intelligence.

AI + ERP

Look up products, customers, orders, stock or sales information.

AI + CRM

Help the sales team look up customer information and prepare actions.

AI + WordPress or WooCommerce

Look up products, features, orders or website content.

AI + databases

Query large amounts of information using natural language.

AI + APIs

Connect the agent to external services to look up information or run actions.

Processes

Process automation with AI

AI can also be part of automated processes. For example:

From an email to an action

A customer sends an email.

The AI can analyse it, identify what is being requested, extract the relevant data and kick off the corresponding process.

Document processing

A document arrives in the system.

The AI can identify its content, extract certain data and send it to the right application.

Team assistance

An employee needs information.

Instead of searching for it manually across several systems, they can request it in natural language and get a reply based on the available information.

Automations with n8n

Tools like n8n let you connect applications and automate processes. We can use them alongside AI models when that's the best solution.

The tool is a means, not the goal.

Tools

Dify, n8n and other AI tools

We don't always need to use the same technology.

Depending on the project we can work with tools like Dify to build AI-based apps and flows, n8n for automations and integrations, AI model APIs, and in-house development when we need more control.

We can also combine several technologies.

For example:

Dify + RAG + an AI model + company documentation to build an assistant that answers using your own knowledge base.

Or:

n8n + AI + API + database to automate a process that starts with an email and ends by recording information in one of the business's systems.

The technology choice depends on the problem.

Examples

Some examples of AI applied to businesses

Every business has different processes, but here are some possibilities. These are just examples. The right solution depends on the process you want to improve.

Internal assistant for employees

A simple access point to look up procedures, documentation, manuals or internal information.

Assistant for the sales team

Look up product information, terms, features or documentation and help prepare replies for customers.

Querying data in natural language

Let certain users ask for business information without needing to know a database's structure.

Smart email processing

Analyse incoming messages, identify their content, extract information and route them to the right process.

Extracting information from documents

Process documents and automatically get the data needed to continue a process.

Support assistant

Look up documentation and knowledge bases to help answer frequent questions or assist support staff.

Agents connected to your applications

An agent can look up information or run certain actions in the tools you already use.

Judgement

Not everything needs artificial intelligence

This is an important part of how we work.

We don't recommend using AI just because it's trendy.

Some processes are better solved with a traditional automation, an integration between systems, or a small custom development.

If a simple rule can solve a problem faster, more cheaply and more predictably, we probably don't need artificial intelligence.

But when there's unstructured information, natural language, documents, decisions that require context or large amounts of information, AI can add a lot of value.

First we understand the problem. Then we choose the technology.

Tailored

A solution built for your business

There are many AI platforms that let you create assistants quickly.

And they're a perfectly valid option in certain cases.

But maybe you need something different:

  • Integrate it with your applications.
  • Work with private information.
  • Control where the data is stored.
  • Fully adapt how it behaves.
  • Avoid depending on a specific platform.
  • Integrate it inside an application that already exists.
  • Create a process specific to your business.

In these cases we can build a custom solution.

It's not about reinventing everything that already exists. We can use existing models, tools and services and build only what you need around them.

Ownership

No new subscription for every need

Many AI solutions work as SaaS services with a monthly fee.

In some cases that makes complete sense.

In others, a business may prefer to have its own solution and only pay for the infrastructure or external services it actually uses.

That's why we can build solutions without turning every feature into a new subscription.

The software is yours. The solution adapts to your business.

That doesn't necessarily mean there are no recurring costs: using certain AI models, servers or external services can have a cost. The difference is that you don't need to sign up to a closed platform for every process.

Technology

So what technology would we use?

There's no single answer.

Depending on the project we can use:

  • AI models via API.
  • RAG and knowledge bases.
  • AI agents.
  • Dify.
  • n8n.
  • Third-party APIs.
  • Databases.
  • WordPress and WooCommerce.
  • ERPs and CRMs.
  • In-house applications.
  • In-house development in PHP, JavaScript or other technologies.

The technology is chosen based on what we need to achieve.

We don't sell a tool. We build a solution.

FAQs

Frequently asked questions about AI for businesses

How much does it cost to build an AI agent for a business?

It depends on what it needs to do. Building an assistant that looks up documentation isn't the same as building an agent connected to an ERP, a CRM or a database that can carry out certain actions.

We analyse the case, the integrations needed and the level of complexity to prepare a proposal tailored to the project.

Do you work by the hour or by project?

We can work either way.

When the scope and requirements are clear, we can prepare a fixed quote. If there's technical uncertainty or the project needs to evolve during development, we can also work by the hour, with the terms agreed beforehand.

The idea is that you know from the start how the project will be built and what costs to expect.

Will I have to pay a monthly subscription for the solution?

Not necessarily. The development we do doesn't carry a mandatory monthly fee.

We deliver the solution and, if you want, we can later take care of its maintenance or oversight.

That doesn't mean an AI solution can't have other recurring costs. There can be hosting, infrastructure, API or AI model usage costs, for example through tokens.

The cost will depend on how we design the solution and whether we use proprietary models, open models or other technologies.

For example, we can use a proprietary model through an API, or design an architecture based on open models when it makes sense. Each option has its own advantages, drawbacks and costs.

The solution is yours and doesn't necessarily depend on a subscription to Albin Soft.

What can an AI agent do that a chatbot can't?

A chatbot may be designed mainly to hold a conversation and provide answers. An AI agent can go one step further: look up information, use tools and carry out certain actions within the permissions we've given it.

For example, an agent could look up a customer's information, check data in another system and prepare a reply.

The difference is that the agent doesn't have to be limited to conversation: it can be part of a work process.

Do I need to have my data in a special place to use AI?

Not necessarily.

We can work with information stored in databases, ERP, CRM, documents, spreadsheets, management systems, Google Drive, in-house applications or services accessible via API.

If the information is in digital format, we'll look at how to connect it to the solution.

And if some of the information is still on paper or in formats that can't be easily processed, we can first look at how to digitise it.

Can AI replace an employee?

It can automate certain tasks currently done by a person, especially repetitive ones based on defined information or procedures.

But we don't approach artificial intelligence as a universal replacement for employees.

In many cases, the biggest value is AI helping the team: looking up information, preparing replies, processing documents, querying data or handling repetitive tasks so people can spend more time on work that requires judgement and experience.

First we analyse the process, then we assess what's worth automating.

What AI models do you use?

We're not tied to a single model.

We can work with different providers and technologies, including proprietary models via API and open models, depending on the project's needs.

The choice can depend on factors such as response quality, the type of task, cost, speed, privacy or the ability to run the model on specific infrastructure.

We don't sell you a specific AI: we choose the technology that best fits the project.

Will my data be safe when using artificial intelligence?

It depends on how we design the solution.

Not every project has the same privacy needs or requires the same architecture. We can use external services via API, our own infrastructure, cloud services or, when it makes sense, models that can run on infrastructure under our control.

Before building the solution, we can assess what information is processed, where it's stored and what services are involved.

Security and privacy are part of the solution's design, not something to decide afterwards.

What if I already use Dify, n8n, Make or Zapier?

We can build on the tools you already use.

It doesn't make sense to replace a solution that works just to use a different technology.

We can integrate tools like Dify or n8n with your applications, extend an existing system, or build only the parts you need.

The technology you already have is also part of the project.

How long does it take to build an AI agent?

There's no single timeframe.

A simple prototype can be ready quickly, while a solution connected to several systems, with different permissions and processes, will need more work.

The timeframe will mainly depend on the scope, the integrations needed and the complexity of the process we want to automate.

Before we start, we can define what we want to achieve and split the project into phases when convenient.

What's the process for building an AI solution?

We start by understanding what you want to achieve and how the process currently works.

Then we analyse the possible solutions and choose the most suitable technology. When it makes sense, we first build a prototype to check that the approach works before tackling the whole project.

From there we develop, test and integrate the solution with the necessary systems.

Finally we deliver the project and the corresponding documentation. If you need it, we can also later take care of maintenance or oversight.

Do I need to know about artificial intelligence to start a project?

No.

You don't need to know what RAG is, which model to use, how an agent works or which tool we should use.

Tell us what problem you have, what process you want to improve, or what task you'd like to automate.

We'll analyse what options exist and tell you whether artificial intelligence makes sense for your case.

And if we find that a conventional automation or a simpler development solves the problem better, we'll tell you that too.

Not everything needs AI. What matters is finding the right solution.
