We built a management software from scratch for a yacht club, tailored to its particular system of memberships, bookings, rates, currencies and events.

Public website, a private area for members and an admin panel, all integrated into a single web application.

How it came about

A brand-new club without suitable off-the-shelf software.

The project began with a sailing club that was launching its activity from scratch. There was no previous system to replace, nor a platform to adapt its operations to.

We started directly from the client's ideas and needs to define how the system should work. The complexity wasn't just in having many features, but in getting all these rules to work together.

This project is a good example of when custom software development makes sense.

It wasn't simply a matter of building a website for a yacht club or installing a booking system.

Very specific business rules had to be turned into an application capable of applying them automatically and keeping them linked to one another.

That's why we built the software from scratch, starting from the needs the client defined.

The result is a tool adapted to how the club actually operates, instead of a system that forces the club to change the way it works.

Very specific business rules appeared from the start:

  • Different membership types.
  • Different rates depending on membership.
  • Different rates depending on day/time.
  • Rates that change depending on the time of year.
  • Different costs depending on how far in advance a booking is made.
  • Different currencies and wallets.
  • Purchasing new currency.
  • Transferring currency between periods.
  • Periods of variable length, such as months or quarters.
  • Currencies with special behaviour that never expire with use.
  • Restrictions on which members can use certain boats.
  • Event and capacity management.
  • Attendee and guest limits depending on membership.
  • Attendance and absence tracking.
  • Boat blocking for maintenance, training or other reasons.

Memberships and permissions

Memberships determine much more than the type of user.

They can define which services each member can use, which currencies they have, which rates apply to them, and which boats they're allowed to book.

Rates adapted to every situation

The system supports different pricing rules depending on how far in advance a booking is made, the time of year, and the day/time of the week.

You can create as many rates as needed, as many booking slots as needed, and easily match each slot to its rate.

Currencies and wallets

One of the project's distinctive features is the use of different internal currencies (gold, silver, bronze, nories and boomerang) with different behaviours.

Members can have different wallets depending on the period of the year (monthly, quarterly or bundles) and use their currency to book outings or attend events.

The system supports, among other possibilities:

  • Monthly or quarterly periods.
  • Currency transfer between periods.
  • Purchasing currency from the platform.
  • Different currency types with their own usage rules.
  • Restricted-use currencies that never expire.
  • History of currency allocation, purchase and use.

Bookings and availability

Members can check availability and make bookings or join a waiting list.

Administrators can control availability and set up boat blocks.

Possible boat blocks:

  • Maintenance.
  • Training.
  • Inspections.
  • Club activities.

Events and attendance tracking

Events consist of one or more boats with a skipper per boat.

They can be available to one or more membership types, with the optional ability to bring guests. They can carry an additional cost on top of currency. They can be open to non-members via the public website.

Different conditions can be set for each event:

  • Which memberships can take part.
  • Maximum number of participants, total and per membership.
  • Number of guests allowed per person/membership.
  • Capacity and sign-up tracking.
  • Attendance and absence tracking.
